Terms & Conditions

Enrollment Agreement

This Enrollment Agreement ("Agreement") is entered into between the undersigned student ("Student") and PRIME Coaching Academy ("Academy"). By enrolling in the Coach Training Program offered by the Academy, the Student agrees to the terms and conditions outlined in this Agreement.

Disability/Discrimination/DEIJ statement

The Academy is committed to fostering a diverse, equitable, inclusive, and just learning environment. The Academy believes in the power of coaching to transform lives, and recognizes that embracing diversity, equity, inclusion, and justice is fundamental to unlocking the full potential of individuals and communities. Their commitment extends to creating a space where every student, regardless of ethnicity, race, gender, sexual orientation, religion, age, disability, marital status, personality type, social-economic, or professional standing, feels valued, heard, and supported. Together, the Academy strives to build a coaching community that reflects the richness of human experiences and empowers each student to thrive in their unique journey of growth and learning.

Tuition and Fees

The Student agrees to pay the tuition and fees as specified by the Academy. Payment may be made in full or according to the installment plan provided at the time of enrollment. Failure to make timely payments may result in suspension or termination from the program and access to the student area of the Academy’s website.

Refund Policy

  • A full refund, less 7.5% processing fee, will be issued if the Student withdraws by written notice two weeks (14 calendar days) before the start of the first 3-day intensive.
  • All refunds will be issued within 30 days of written notification of withdraw from the Student.
  • No refunds will be provided within the two weeks (14 calendar days) prior to the start of the first 3-day intensive.
  • In the event of an emergency (proof required) where the Student needs to withdraw from the program, the Academy will re-enroll the Student in a future and equal program at the Academy’s discretion.
  • Modifications to registration, including substitutions of participants or transfer of course dates, must be completed at least 14 calendar days prior to the first 3-day intensive of the program. Participants may contact the Academy to modify their registration at [email protected]. Course changes will be allowed as long as there are spots available.

Partial Completion Policy

The Academy understands that the Student may face unforeseen circumstances that could hinder their ability to complete the entire training program. In such cases, the Academy has established a partial completion policy to address these situations.

Unattended Classroom Time

3-Day Intensives 1 & 2

Attended classroom time is defined as the student being present during the livestream with their camera on. Students can miss no more than 30 minutes of class time in either intensive 1 & 2. In the event that the Student misses more than 30 minutes, partial credit recognition will apply (see below) and a full Program Completion Certificate will not be granted without making up the time (see below) in the subject matter that was missed.

Practice Studios 1 & 2

Attended classroom time is defined as the student being present during the livestream with their camera on. Students can miss one hour only from both Practice Studio 1 & 2. In the event that the Student misses more than one hour from either Practice Studio 1 or 2, partial credit recognition will apply and a full Program Completion Certificate will not be granted without making up the time in the subject matter that was missed.

Learning Labs and Advanced Labs

Attended classroom time is defined as the student being present during the livestream with their camera on. Students can only miss two hours from any Learning Labs or Advanced Labs. In the event that the Student misses more than two hours from any of these modules, Partial Credit Recognition will apply and a full Program Completion Certificate will not be granted without making up the time in the subject matter that was missed.

Strong Start and Ethics

Attended classroom time is defined as the student being present during the livestream with their camera on. Students can miss one session out of the four offered from any of these classes. In the event that the Student misses more than one session, Partial Credit Recognition will apply and a full Program Completion Certificate will not be granted without making up the time in the subject matter that was missed. Students must also turn in assigned projects to receive full credit.

Asynchronous Self-study Modules

Self-study modules must be completed with any associated assignments to receive full credit. In the event that the Student does not complete the self-study modules and/or the associated assignments, Partial Credit Recognition will apply and a full Program Completion Certificate will not be granted without making up the time in the subject matter that was missed.

Make-up Policy

The make-up policy applies only when a student misses more than the maximum allowed time as described above. Because the make-up content will need to be customized for what was specifically missed by the Student, content missed will be taught to the student in a one-on-one livestream session with an Academy master facilitator and will be billed at $300.00 USD per hour. Additional payment must be made in advance before the session(s) with the master facilitator.

Partial Credit and Recognition

Students who have successfully completed a portion of the training program and have opted out of making up the missed curriculum with an Academy master facilitator will be eligible for Partial Credit and Recognition. This acknowledgment will be based on the hours and modules and/or sessions completed, and participants will receive a certificate of completion for the specific sections accomplished that can be used for submission for certification to the International Coaching Federation (ICF) under the Portfolio application.

Illness Policy

In order to provide the Student with the minimum required training hours for certification, it is important that the Student is present at all course livestreams. If the Student has an emergency or becomes ill and is not able to attend beyond the maximum amount of time allowed as outlined above, the Student will need to contact their facilitator immediately. Partial Completion Policy, Make-up Policy or Partial Credit and Recognition Policy may apply or Student will be re-enrolled in a future and equal program at the Academy’s discretion.

Petitions to this policy are considered on a case-by-case basis and must be submitted in writing to the facilitator and the Academy’s leadership.

Transfer of Credit Policy

The academy will accept partial credit from other ICF accredited training programs, or a program with a curriculum that is in alignment with ICF standards. If the student has completed a Level 1 program at another organization, we will apply the completed credit hours for eligibility to our Level 2 program. Students must provide documentation of their Level 1 completion, including the organization, number of hours completed, completion certificate, and contact information for the organization or trainer. The academy will not accept partial credit from other organizations or programs. At this time, we are not able to accept partial course credit from other organizations or programs.

Course Engagement

The Academy’s courses are designed to be interactive and engaging for students. It is therefore an expectation that each student participates in course activities, including dialogue with the course instructor and peers, practice coaching activities, and experiential learning exercises. If the Student is unable to participate in an activity, the course facilitator needs to be informed as soon as possible. Please refer to the code of conduct for additional details.

Code of Conduct

Students are expected to conduct themselves in a professional manner during all sessions. This includes, but is not limited to:

  • Arriving on time to all sessions.
  • Attending all live sessions and mentor coaching sessions.
  • Having their camera on for virtual livestreaming sessions.
  • Participating fully in all sessions and mentor coaching sessions. This includes being prepared for the session, involving the Student in discussions and activities, assuming responsibility for their learning, and contributing to the learning of others.
  • Engaging in discussions with integrity and honesty.
  • Being respectful of fellow participants and instructors, including silencing cell phone, not texting, and other disruptive behaviors.
  • Addressing complaints or grievances in a timely manner with a Master Facilitator or the Academy’s leadership as outlined in the Complaint/Grievance Policy.

Termination

The Academy reserves the right to terminate a Student from the program for violations of this Agreement, the Code of Conduct, or any other policies outlined by the academy.

Intellectual Property

All original materials, resources, and intellectual property provided by the Academy during the program are the exclusive property of the Academy. The Student agrees not to reproduce, distribute, or use these materials for any purpose other than personal learning unless otherwise noted.

Non-Discrimination Policy

It is the policy of the Academy that:

  • Recruitment and hiring of all personnel is conducted without discrimination against any individual with regard to race, age, religion, color, creed, national origin, gender, sexual orientation, gender identity, marital status, disability, or veteran status.
  • All staff and personnel will not discriminate against any employee or participant because of race, age, religion, color, creed, national origin, gender, sexual orientation, gender identity, marital status, disability, or veteran status.
  • All individuals are welcome to participate regardless of race, age, religion, color, creed, national origin, gender, sexual orientation, gender identity, marital status, disability, or veteran status.
  • All employees, students, and other participants should be able to enjoy an environment free of discrimination and harassment. This includes, but is not limited to, discrimination or harassment in the areas of race, age, religion, color, creed, national origin, gender, sexual orientation, gender identity, marital status, disability, or veteran status. The Academy does not and will not tolerate conduct by any employee, student, volunteer, contractor, visitor, or vendor which unreasonably interferes with an individual’s ability to learn in a welcoming environment.
  • Reasonable Accommodations: The Academy is dedicated to providing reasonable accommodations to Students with disabilities, enabling them to perform the essential functions to participate fully in the classroom/livestream environment. Technical accommodations would be limited to the functions of the Zoom video conference platform, i.e. closed captions in real time. Other accommodations would need to be discussed prior to enrollment to ensure learning standards can be upheld for all students if accommodations are made and will be considered on a case-by-case basis.

Students who wish to report discrimination are encouraged to follow the grievance policy outlined below. The Academy will promptly investigate all claims and reports of inappropriate conduct.

Communication Channels

Open communication is essential. Students are encouraged to maintain regular contact with the academy regarding their progress, challenges, or need for accommodations. The Academy is committed to working collaboratively with the Student to find solutions that best suit their individual circumstances.

It's important to note that this policy is subject to change, and the Student should refer to the official documentation provided by the Academy or contact the academy directly for the most up-to-date information on partial program completion policies.

Complaint/Grievance policy

Purpose

The Academy is committed to providing a positive and supportive learning environment. This Complaint and Grievance Policy is designed to address and resolve concerns or grievances raised by individuals associated with their coach training programs.

Scope

This policy applies to all students and stakeholders involved with the Academy.

Definitions

  1. Complaint: An expression of dissatisfaction related to the services, conduct, or experiences within the Academy.
  2. Grievance: A more formal and serious expression of dissatisfaction that requires a structured process for resolution.

Process

Informal Resolution
  1. Open Communication: Participants are encouraged to communicate their concerns directly with the involved party or the Academy leadership.
  2. Facilitation: the Academy may facilitate a conversation between the involved parties to resolve the matter informally.
Formal Resolution
  1. Submission of Complaint or Grievance: Students may submit a written complaint or grievance to Amy Ruppert Donovan, MCC and Elias Scultori, MCC at the Academy within 14 calendar days. The submission should include details of the issue, relevant evidence, and the desired resolution.
  2. Investigation: Upon receiving a complaint or grievance, the Academy leadership will conduct a thorough and impartial investigation. The investigation may involve interviews with relevant parties and a review of any available evidence.
  3. Resolution: the Academy will provide a written response to the complainant within a reasonable timeframe. If the complaint is substantiated, appropriate corrective actions will be taken.

Confidentiality

The Academy will handle all complaints and grievances with the utmost confidentiality, sharing information only with individuals directly involved in the resolution process.

Appeal

Students dissatisfied with the resolution may submit an appeal to the Academy advisory board. The decision of the appeal will be final.
